What counts as an enquiry?
One client conversation, start to finish — the screening questions, the fee answer, the booking, the payment link and the reminders that follow. Not one message. A typical after-hours intake runs eight to twelve messages and counts as one enquiry. The dashboard shows the running count.
What happens if I go over?
Nothing breaks. Your clerk keeps working and the extra enquiries appear on next month’s invoice at your plan’s rate. A missed instruction costs more than an overage, so we don’t throttle. If you’d rather cap it, set a limit in the dashboard.
Do I have to pay Meta separately?
No. From 1 October 2026 Meta charges roughly 12c for every message a business sends on WhatsApp, and more for clients abroad. That’s built into your plan. You’ll never get a WhatsApp bill from us or from Meta.
Does it give legal, tax or financial advice?
No — and that is deliberate. Your clerk is a clerk, not a practitioner. It answers process, fee, document and availability questions, and it screens the matter. The moment an enquiry calls for an opinion on the merits, it says so plainly, tells the client an admitted practitioner will advise, and puts the conversation on your desk. It is built to hand over early rather than guess.
What about client confidentiality and POPIA?
Conversations stay in your account and are never sold, shared or used to train public models. You control retention and can delete any conversation permanently. Because a first WhatsApp enquiry can already carry privileged detail, the clerk is set up to collect only what intake actually needs and to flag the rest for you. We'll sign an operator agreement under POPIA on request.
Will clients know they're talking to a clerk, not a person?
That's your call, though we recommend transparency for regulated practices — most firms have the clerk introduce itself as the firm's automated assistant. Clients rarely mind at 23:00, when the alternative is silence until Monday. You can name it whatever you like.
How does it screen a matter?
You define what an instruction worth taking looks like — practice area, matter value, urgency, jurisdiction, whether a deadline is running. Your clerk weaves those questions into the conversation, presses politely when an answer is vague, and files each enquiry as qualified or out of scope with the full chat attached. No forms, no interrogation.
Can it help with conflict checks?
It surfaces the raw material for one. The clerk asks for the parties involved early and flags names that already appear on your open files, so a possible conflict reaches you before the consultation rather than during it. The check itself stays where it belongs — with you.
How do consultation fees work?
Connect PayFast, Stripe, or any provider that issues payment links. Your clerk sends a secure link at the right moment — typically the consultation fee that confirms the slot. Money goes straight to your account; we never hold or touch it. Firms that charge for the first consult find the no-show rate drops sharply once payment is taken at booking.
Can I take over a conversation myself?
Anytime. You see every chat live from your dashboard, and the moment you start typing, the clerk steps back and stays back until you hand the conversation over again.
