Qualified meetings only

A discovery meeting is an hour of your time plus preparation, and too many of them are spent discovering that there was nothing to advise on. 247clerk establishes that before the meeting is booked, not during it.

Tuesday
Hi, I'm retiring in March and need to decide what to do with my pension. A colleague suggested I speak to you.19:24
Thank you for reaching out — retirement planning is very much what we do. I'm the practice's assistant, so I can't advise on your options myself, but I'll get you to Mr Coetzee properly prepared. Is this a pension fund through your employer, or a retirement annuity?19:24
Employer pension. There's also an RA and some unit trusts19:28
Helpful. Roughly what value are we talking about across those, so the right adviser is assigned? A broad range is fine.19:28
Around R6.5m in total19:31
Thank you. Mr Coetzee handles retirement transitions at that level and has Tuesday 14:00 or Wednesday 09:30 for a first discovery meeting, no charge and no obligation.19:31
Tuesday 2pm19:33
Booked: Tue 14:00 with Mr Coetzee. He'll send a short questionnaire beforehand — fund statements and your latest RA statement will make the hour far more useful.19:33

What it costs you now

Discovery meetings that discover nothing

An hour spent establishing that a prospect has R40 000 to invest and wanted a general chat about markets is an hour that cost you a real client.

Referrals arrive without context

"My colleague said to speak to you" tells you nothing about assets, mandate or what they actually need until you are sitting in front of them.

The regulated line is easy to cross

A prospect asking whether they should move their retirement annuity wants advice, and any answer that is not "a licensed adviser will take you through that" is a problem.

What your clerk establishes before you read a word

Questions

Will it give financial advice?

No, and this matters more in your practice than in most. Financial advice is regulated work. The clerk introduces itself as the practice's assistant, answers process and availability questions, establishes what the prospect needs, and states plainly that a licensed adviser will advise. It is built to hand over early.

Can it ask about assets without putting people off?

It asks for a broad range rather than an exact figure, and only after establishing what the person needs — which is the order that works. Prospects answer a range readily by message, and considerably more readily than they would to a stranger on a first phone call.

What happens to enquiries that are not a fit?

They are answered courteously, given a straight explanation of the practice's minimum where you want one, and filed with the reason. You get a record rather than a gap, which also means you can see how much of your enquiry flow is below the line you actually serve.
